Job Position: Virtual Assistant, HR & Bookkeeping

Description


  • We're looking for a fantastic "can-do", organised and responsive VA who can work for 8 hours daily, Monday to Friday (40 hours per week) - must include coverage between 9am and 6pm in the UK timezone.
  • A strong working knowledge of Google suite (Sheets, Docs, Slides and Calendar) plus Slack is a must for this job along with excellent knowledge of Jira.

The role includes:

  • Bookkeeping and overseeing invoices and payment processes each month
  • Managing payment timeframes for all invoices
  • Managing timesheets and time reporting software
  • Managing HR Admin and record keeping for global team
  • Posting jobs and managing application pipelines on a daily basis
  • Scheduling and managing interviews and keep all pipelines updated daily
  • Manage onboarding and offboarding of team members and related processes and software access
  • Setting up company town hall meetings and delivering all required team communications
  • Drafting letters and basic contracts as required by the Company
  • Implementing and managing systems and databases across the company and maintaining and organising company files and records
  • Creating and disseminating office communications via Slack, eg. event invites, general office, announcements, and follow-ups/reminders
  • Day-to-day administrative and diary support to the management team
  • General administrative, research and data entry assistance as required by the business

Requirements

  • You pride yourself on taking ownership of your work and are a self-starter and a very quick learner
  • You have a proven track record in working in fast-paced start-up environments and juggling multiple priorities daily
  • You can work 9am to 6pm UK time daily, Monday to Friday on an ongoing basis
  • You are a natural problem solver who gets things done to deadline, all the time
  • You have extensive experience working with Google suite (Gmail, Google calendar and Google Docs and Sheets)
  • You are very experienced in using Jira and Slack
  • Virtual Assistant with HR & Bookkeeping experience
